BitsBitsHR is an attendance and HR platform provided by BAIG Information Technology Services ("BitsHR", "we", "us"). This policy explains what personal data we collect through the BitsHR website, web portal (app.bitshr.in) and mobile app, how we use it, and the choices you have.
BitsHR is used by companies ("Customers") to manage their own employees. For employee data, the Customer decides what is collected and why, and BitsHR processes that data on the Customer's behalf. Employees should contact their employer first with questions about their data.
1. Data we collect
- Company and account details: company name, email, phone, address, GST number and logo; names, email addresses and passwords (stored only as secure hashes) of admin and HR users.
- Employee records entered by the Customer: name, employee code, phone, gender, date of birth, blood group, address, department, designation, shift, office and joining date.
- Attendance data: check-in and check-out times, the method used (mobile, kiosk, RFID or fingerprint device), and leave requests and balances.
- Location: when an employee punches in or out with the mobile app, the GPS position and its accuracy are recorded to confirm the employee is at the office. Location is not tracked at other times.
- Photos: a selfie taken at check-in/check-out, and profile or enrolment photos if the Customer uses them.
- Device and usage data: app platform, biometric quick-login consent choices, IP address and server logs used for security and troubleshooting.
- Support: messages and files you send us through Help & Support or email.
2. How we use data
- To provide the service: record attendance, calculate hours, lateness and leave, and produce reports for the Customer.
- To verify punches and prevent misuse, for example rejecting punches from outside the office area or from mock locations.
- To manage accounts, approve registrations, send service emails (password resets, support replies, account notices) and provide support.
- To keep the service secure and to meet legal obligations.
We do not sell personal data and we do not use it for advertising.
3. Biometric quick login
The mobile app can use your phone's fingerprint or face unlock as a shortcut to sign in. This check happens entirely on your device; BitsHR never receives your fingerprint or face data. We only store whether you allowed or declined the feature, and when.
4. Sharing
Employee data is visible to authorised users of the employee's own company (for example HR and admins). We share data only with service providers that help us run BitsHR (such as server hosting and email delivery), under confidentiality obligations, or when required by law.
5. Storage and security
Data is stored on secured servers and sent over encrypted (HTTPS) connections. Punch selfies and support attachments are kept in private storage and are only shown through short-lived links to authorised users. Access is limited by role and company.
6. Retention
We keep data for as long as the Customer's account is active, or as needed to provide the service. When a Customer account is closed, we delete or anonymise its data within a reasonable period, unless we must keep it to meet legal, tax or accounting obligations.
7. Your rights
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may ask to access, correct or delete your personal data, withdraw consent, or raise a grievance. Employees can update their own personal details under Settings > My Profile. For employee data, please contact your employer; we will assist them in responding. You can also write to us at the address below.
8. Cookies and local storage
The web portal stores your sign-in session in your browser so you stay logged in. We do not use advertising or third-party tracking cookies.
9. Children
BitsHR is a workplace service and is not meant for use by children under 18.
10. Changes
We may update this policy from time to time. The date at the top shows the latest version. Significant changes will be announced in the portal or by email.
